The filing cabinets aren't really the problem. The problem is that finding anything means a trip across the building, nothing is searchable, and if the sprinkler goes off you lose eleven years of quality records. And a scanning bureau will solve exactly none of that.
Tick what applies. The count changes what we'd recommend, and sometimes the recommendation is to do nothing yet.
Almost never carelessness. Usually the predictable result of a decision that made sense at the time.
On a floor, in a truck, at a receiving door, a clipboard beats a tablet every time. So paper keeps winning at the point of creation, even after a system exists.
Something was bought to fix this. The content was migrated without structure, the categories matched the vendor's demo rather than your business, and the team quietly went back to paper.
Scanning is the easy half. Without classification, searchability and routing, you've swapped a filing cabinet for a folder of images nobody can find anything in either.
In this order, because doing them out of order is how these projects fail.
Our crew works on site with our own equipment, around your production schedule. Records don't leave without a documented chain of custody, and destruction is handled properly where it's appropriate.
We work out how your business actually needs to find things before converting anything at scale. Classification decided afterwards is classification done twice.
Conversion without fixing capture means you're back here in three years. Forms, approvals and routing get rebuilt so new paper stops being created.
Records are worth more when the ERP, the CRM or the field app can reach them. That integration is where most of the return actually lives.
Same team either way. The difference is whether this has an ending.
The program built for this. Crew, equipment, chain of custody and the system afterwards — all under one engagement, delivered on your floor.
See LiquidIQWhere the records are already digital and the problem is structure, routing and integration rather than physical conversion.
Process automationAn ISO audit forced the issue. Onsite conversion of eleven years of records, then a documentation system the quality team now maintains without us.
A bureau converts paper to images and hands you a drive. That solves storage and nothing else. The value is in structure, search, routing and connecting records to the systems you already run. We do the conversion because it's the only way to do the rest properly.
Whatever you decide, documented either way. Records are tracked from cabinet to system, retention rules are applied by record type, and secure destruction is available where appropriate. Nothing is discarded on our judgement alone.
Common, and usually not the platform's fault. We'll assess whether it's salvageable before recommending anything new — more often than not it is, and the fix is structure rather than software.
No, and you shouldn't. One record type or one department first, done properly, so you can see whether the approach works before committing the rest of the building to it.
We'll tell you which part of this we'd put on it, roughly what it costs, and whether it's worth doing at all — including when the honest answer is that you don't need us.
